Use this guide to organize your AAD departure or internal transfer without mixing in supervisor-only actions.

Tell your supervisor as soon as you can, confirm your final day in AAD, and say whether you are leaving Virginia Tech or moving to another university department. That distinction determines which official checklist and employment transaction applies.

Keep personal details and employment documents in the university channels your supervisor or HR identifies, not on this public page.

Separation or Internal Transfer?

Leaving Virginia Tech and moving to another Virginia Tech department are processed differently. Tell your supervisor which situation applies before anyone begins closeout work.

Leaving Virginia Tech

Ask your supervisor and AAD HR which separation checklist applies, what date will be used, and where employment questions should go.

Moving to another VT department

Say that you are transferring within Virginia Tech so HR, access, property, and leave questions can be handled as a transfer rather than a full university separation.

Confirm the Plan with Your Supervisor and HR

Ask who is coordinating your departure, what your final AAD workday is, and which questions belong with your supervisor, AAD HR, or the HR Service Center.

Confirm the date and processing path before relying on a checklist or making assumptions about access.

Ask where to send employment documents and private questions. Do not post them in shared notes or public requests.

Agree on the people who will receive your work, records, property, purchasing items, and local access.

Return Property and Coordinate Access

Make one list with your supervisor of the university property and local access connected to your role. The responsible AAD teams confirm what must be returned, transferred, or closed.

Identify computers, phones, equipment, purchasing cards, keys, building access, parking items, and other university property you use.

Ask your supervisor which AAD IT, Fixed Assets, Finance, facilities, or local administration contact is handling each item.

Return or transfer items through the responsible office; do not dispose of university property or move it to another employee without confirmation.

Hand Off Your Work and Records

Leave your work in a usable state. Your supervisor decides who receives active work and which shared location is appropriate for college records.

List active projects, recurring responsibilities, deadlines, decisions in progress, and key university or vendor contacts.

Move work records from personal working locations into the approved shared location your supervisor identifies.

Transfer ownership or administration of shared files, calendars, email groups, forms, websites, and other team resources through the responsible service owner.

Agree on what colleagues or partners should be told and who will send the transition message.

Route Pay, Benefits, Leave, and Expenses

Rules and timing can depend on your appointment and destination. Ask the responsible university office for current answers instead of relying on a local summary.

Submit outstanding time or leave records, travel items, reimbursements, and purchasing documentation through the normal university systems before the deadline your supervisor confirms.

Ask AAD HR or the HR Service Center about final pay, leave, benefits continuation, retirement, or a move between Virginia Tech appointments.

Ask Finance about outstanding travel, reimbursement, purchasing-card, or other financial items connected to your role.

Before Your Final AAD Workday

Review the official employee checklist with your supervisor and close any AAD-specific items they assigned to you.

Confirm that your work handoff is accessible and that the receiving people know what they own next.

Confirm that property, keys, purchasing items, records, and technology have reached the responsible owner.

Set the transition message or out-of-office contact your supervisor approves.

Ask where future W-2, benefits, retirement, or employment questions should go after your AAD access changes.
